End the Bottleneck of Unstructured Documents

As I am sure you are aware, due to concerns with COVID-19, several healthcare conferences have been postponed or canceled, including HIMSS.

David Rasmussen, president and CEO of Extract, alongside Eric Olson, Regional Business Development Manager, were planning on attending the show with our partner Interlace Health, formerly known as FormFast.

And though the event was canceled, we still wanted to share with healthcare industry workers and current and future clients what our partnership means and what it can do for healthcare organizations looking to find a solution for their unstructured documents and forms.

Our mission is simple- improve patient care and reduce the cost of healthcare by delivering data to the EMR so that physicians and staff can quickly diagnose and treat their patients.

Each organization has very different methodologies when it comes to these unstructured documents. It creates a need for staff to manually enter in key data from those documents into the EMR. This manual process is both time consuming and error prone.

That is where the Extract and Interlace Health solution come in. We automate this workflow by taking those key pieces of data, extracting them, and routing them direct to your EMR or other desired location.

How does the platform work?

Without getting into the weeds too much, we capture or extract the data from an organization’s patients and staff though faxes, scans, or eForms. We use our advanced OCR engine and document clues to ensure all the necessary data is retrieved and collected. The key data is then routed and sent to the appropriate department or system. Criteria is applied based on document type or other information contained within a given file. Our platform is able to integrate with an organization’s existing systems- such as an EHR, HIS, LIS or ECM platform. Once the data has been captured and routed, the information is then able to be reported on. This allows stakeholders to see analyzed and trended reports on their business insights.

An Example Workflow

For this example, let’s say a document requires a signature.

The document or form comes in, Extract’s platform is able to indicate that it requires a signature and is routed directly to the Interlace Health application where the signature line is presented to the intended person, the document or form is e-signed, and directly routed to the EMR or desired location.

So, what other benefits come from utilizing our automated platform?

Streamlining workflows is just one benefit our clients see. Others include:

  • Increased patient care

  • Reduce turnaround times

  • Minimize manual data entry, routing, and redaction errors.

  • Reduce their file backlogs

  • HIMSS7 compliance with point of care scanning

  • HIPAA compliance- all PHI stays on premises and under their organization’s firewall

  • EMRs become more meaningful because data is in the correct location and easy to locate

  • Reduced burnout and repurposing full-time employees to more meaningful tasks

  • Centralize, standardize, and optimize their processes

Whether you are tired of your manual workflow, are wanting to create more efficiencies to save time and money, or you are interested in hearing more about what exactly Extract Systems can do for your organization I encourage you to watch this brief (under 15-minutes) presentation given by Eric Olson. It outlines what we offer here at Extract as well as touching on how Extract and Interlace can bring document form and automation to a new level. You can also schedule a time to talk with our Healthcare Development Managers to discuss more specific needs your organization has.
