Defining Your Project Plan For Automated Redaction

Are you planning on completing an automated redaction project for your company?

Have you already defined your project scope?

Deciding an automated redaction vendor can be overwhelming. You’ll have to do some vendor scoping to figure out who is best for your company.

Moving into the planning phase can only occur when you’ve selected an automated redaction vendor. The implementation of an automated redaction solution has many important steps to follow.

These steps include the following:

  • Drafting your project team charter document, roles, responsibilities, and meeting schedule

  • Identify multi-disciplinary project team members and project manager and secure resources

  • Set regular team meeting schedule

  • Draft project plan and communication strategy

  • Complete project risk assessment

Securing project funding is key when implementing your automated redaction project plan. Without proper funding, it will be impossible to move forward. You must define the proper business requirements. Once you’ve done that, putting together a request for proposal is your next step.

The request for proposal, once compiled, is sent out to vendors. Next, select your vendor per procurement policy.

Selecting an automated redaction vendor

To select a good vendor, you must look at how well they do the following:

  • Approach redaction

  • Store original and redacted image formats

  • How much of the process is automated vs. manual

  • Data security

  • Access to your data

  • Approach for back files

  • Approach for day forward files

  • Meeting redaction accuracy benchmarks

If you find a vendor that does these things well, matches your business requirements and provide you satisfaction, you’ll award them a contract. In this contract, you’ll display your redaction business approach. This is where you will define your image quality and scanning resolution standards. You can provide accuracy benchmarks that you’d like to measure and terms for quality assurance and control.

Accuracy is important, so you will also outline what your review standards for images are. It may be different when done by human verification vs an automated workflow.

Once your business practice documentation is written, your user manual must be compiled. You have a great business plan but if your user manual doesn’t coincide, users will not know how to use the platform correctly.
