Making all information in the EMR valuable, even if it's "external"
Over the years of working with some of the top medical centers in the country, we have begun to see a shift in the policies around external data. It is still very important for an organization to know what data they have "created" and what data is from external sources. The Extract platform is designed to support this in many ways. First, it supports the EMR's functionality to "mark" data as external. So, the data will be there and can trend alongside internal data, but it will be clear to your clinicians that it is external. Next, often it's very important to record the "resulting organization's" name and address as a part of the filing of the data. Because the Extract platform can find and extract this automatically, this does not overly burden your staff to find and file this information. Additionally, where reference ranges are an important part of the clinical result data, the Extract solution can easily extract and file this along with the result so that your EMR has it recorded and it can be seen by clinicians when required.
Enabling Decision Support, Notifications and Alerts
You have invested in an EMR because it provides another layer of value besides just "holding" patient information electronically. It can present and analyze that data to assist your clinicians in making the right decisions. That only works, however, if the data is IN the EMR, not just "attached" to it. Because the Extract solution can extract and results important clinical data discretely, that data can trigger notifications that it has arrived or alerts for abnormal results. The Extract platform is designed to provide an effective, but loose integration to all document and unstructured data sources. By having the Extract platform simply "watch" designated network folders, we are able to automatically pick up any documents that come in vie fax or scanner. The platform also offers APIs to allow us to access other systems to pick up other unstructured data sources as well.
Your own IT support staff
Easy to deploy and maintain
You have invested in your staff to support the access to patient data by your clinicians and support staff. You want to be sure your staff is not overwhelmed by complicated or inefficient technologies, however. Extract's product and service offering is designed to reduce all possible burdens from your support staff. While subject matter expertise is required to design the systems workflows and interfaces, the Extract professional services team will take those specifications and build the system, the capture algorithm, the workflows, and the output to match your interface requirements. We do the heavy lifting and then maintain the system to specifications on an ongoing basis.
Can't build interfaces to everything
When data is structured and a lot of it comes from a common source, an interface is the right way to go. It's worth the time, effort and cost to build and maintain it. Your HIM and other operational staff
Automate scanning to order and encounters/visits and the capturing of better indexing information using this advanced technology instead of manual document handling and data abstraction. The platform can match data to open orders and appropriate encounters. There are also options to create new (unsolicited) ones right from the indexing interface. This means clinicians can find data and documents with ease and it's available for clinical quality measures.
How does this work?
This powerful solution "speaks" to the EMR to find patients. It finds applicable open orders to file documents to or find related encounters. Based on the document type and your desired workflows, the right procedures are chosen automatically. You can create unsolicited orders or encounters when filing if that is the best way for your physicians to find data.
Clinicians and reporting initiatives can be thwarted by inconsistency. From one staff member to the next, a different decision can be made about how a document should be classified and filed. In addition, when processes are manual, it's often easiest to avoid capturing discrete data and to file documents simply to the patient and not associate it with correct procedures, orders, and encounters/visits because it's simply too tedious. With Extract, recognizing the document type is automatic and then deciding what options are allowed for that document type are pre-defined. Taking the guesswork out means better consistency. In addition, because the Extract solution can extract valuable index and clinical data, that too is automatically routed consistently to the right places as well.
